General Description:
The Administrative Office Associate performs a wide range of administrative functions to facilitate efficient operation of an Office/department or school.  Administrative Office Associates also provide exemplary customer service to both internal and external stakeholders. 

Essential Duties and Responsibilities:

  • Composes correspondence, answers the telephone, and informs staff on a variety of matters related to school/department operations and policies
  • Provides exemplary customer service to internal and external stakeholders
  • Performs basic tasks in the areas of payroll, accounts payable, and accounts receivable
  • Creates purchase orders and facilitates compensation to vendors in a timely manner
  • Maintains a variety of documents, including financial reports and related artifacts
  • Establishes and maintains effective working relationships with personnel in other schools, offices, and community partners
  • Ensures operation of equipment by calling for repairs, maintaining equipment inventories, and evaluating new equipment
  • Maintains supplies inventory by checking stock, anticipating needed supplies, placing orders, and verifying receipts
  • Handles sensitive information in a confidential manner
  • Receives, sorts, and distributes mail
  • Performs other related duties as assigned

Qualifications:

  • Two-year College degree or its equivalent required; four (4) year college degree or its equivalent preferred
  • Two years of office associate related experience
  • Excellent verbal and written communication skills; ability to communicate complex ideas simply and succinctly
  • General knowledge of business office procedures and equipment
  • Ability to adapt quickly to changing priorities, to work independently, and ability to effectively complete multiple assignments simultaneously
  • Outstanding interpersonal and teamwork skills; ability to work collaboratively with internal and external stakeholders
  • Experience using Microsoft Office software and Google Drive
  • Bilingual/fluency in Spanish preferred
