General Description:
The Administrative Office Associate performs a wide range of administrative functions to facilitate efficient operation of an Office/department or school. Administrative Office Associates also provide exemplary customer service to both internal and external stakeholders.
Essential Duties and Responsibilities:
- Composes correspondence, answers the telephone, and informs staff on a variety of matters related to school/department operations and policies
- Provides exemplary customer service to internal and external stakeholders
- Performs basic tasks in the areas of payroll, accounts payable, and accounts receivable
- Creates purchase orders and facilitates compensation to vendors in a timely manner
- Maintains a variety of documents, including financial reports and related artifacts
- Establishes and maintains effective working relationships with personnel in other schools, offices, and community partners
- Ensures operation of equipment by calling for repairs, maintaining equipment inventories, and evaluating new equipment
- Maintains supplies inventory by checking stock, anticipating needed supplies, placing orders, and verifying receipts
- Handles sensitive information in a confidential manner
- Receives, sorts, and distributes mail
- Performs other related duties as assigned
Qualifications:
- Two-year College degree or its equivalent required; four (4) year college degree or its equivalent preferred
- Two years of office associate related experience
- Excellent verbal and written communication skills; ability to communicate complex ideas simply and succinctly
- General knowledge of business office procedures and equipment
- Ability to adapt quickly to changing priorities, to work independently, and ability to effectively complete multiple assignments simultaneously
- Outstanding interpersonal and teamwork skills; ability to work collaboratively with internal and external stakeholders
- Experience using Microsoft Office software and Google Drive
- Bilingual/fluency in Spanish preferred
