General Description:
The Administrative Office Associate performs a wide range of administrative functions to facilitate efficient operation for Principal Directors, who provide direct support to schools.  Administrative Office Associates also provide exemplary customer service to both internal and external stakeholders. 

Essential Duties and Responsibilities: 

  • Composes correspondence, answers the telephone, and informs the public, students, and staff on a variety of matters related to school/department operations and policies
  • Provides exemplary customer service to internal and external stakeholders
  • Performs basic tasks in the areas of payroll, accounts payable, and accounts receivable
  • Maintains a variety of documents, including student lists
  • Establishes and maintains effective working relationships with personnel in other schools, offices, and community partners
  • Ensures operation of equipment by calling for repairs, maintaining equipment inventories, and evaluating new equipment
  • Maintains supplies inventory by checking stock, anticipating needed supplies, placing orders, and verifying receipts
  • Handles sensitive information in a confidential manner
  • Receives, sorts, and distributes mail
  • Performs other related duties as assigned 

Qualifications:

  • High school diploma or its equivalent required
  • Two years of office associate experience
  • Excellent verbal and written communication skills
  • General knowledge of business office procedures,  equipment
  • Ability to establish and maintain effective working relationships with others
  • Ability to adapt quickly to changing priorities, to work independently, and ability to effectively complete multiple assignments simultaneously
  • Excellent customer service and public relations skills
  • Experience using Microsoft Office software
  • Bilingual/fluency in Spanish preferred
