Administrative Office Associate, School Nutrition Services

POSITION TITLE:  Administrative Office Associate - School Nutrition Services

QUALIFICATIONS:  High-school diploma or its equivalency.  Associate’s Degree in secretarial, office systems, business, accounting, or a related field is preferred.  A minimum of two years administrative secretarial experience is required. Must have a general knowledge of business office procedures, practices, and equipment and the ability to quickly learn operations of the School Nutrition Office.  Must be skilled at mathematical calculations and demonstrate excellence in business English, grammar, spelling and punctuation.  Excellent communication, organizational, and public relations skills required.  Excellent computer skills are required.  Three years of experience with Microsoft, Word, Excel, Access and PowerPoint, as well as all aspects of Outlook preferred.  Must be able to establish and maintain effective working relationships with others and be adaptable to changing priorities.  The ability to efficiently organize assignments, effectively handle multiple assignments simultaneously, and work effectively under minimum or no supervision is essential.  Must have the ability to exercise tact, good judgment and demonstrate initiative in the completion of assignments.

PERFORMANCE EXPECTATIONS:  Maintains logs on incoming telephone calls, correspondence and action documents, and follow up on work in progress to ensure timely response or action.  Operates a personal computer and related equipment to produce correspondence, reports, charts and other materials using numerous management techniques to enter, edit, print and file data.  Formats and types confidential and general correspondence, reports and statistical data.  Tabulates and prepares reports of financial data.  Maintains all leaves, payroll, personnel and clerical records and reports.  Greets customers in person or on the telephone; answering or referring inquiries.  Completes School Nutrition Services hiring packets for new part-time employees.  Processes payroll for School Nutrition Services employees.  Reviews time entered into payroll system and forwards information to School Nutrition Services Supervisor for approval.  Draft necessary memos for adjustments and/or corrections.  Trains cafeteria managers on entering leave time for employees.  Updates personnel changes with Human Resources personnel when appropriate.  Collates invoices as needed.  Maintains account receivable responsibilities which includes billing and maintaining account receivable logs.  Assists with Free and Reduced application processing.  Maintains appropriate files.  Performs other related duties as assigned.

GENERAL DEFINITION AND CONDITIONS OF WORK:  Performs skilled administrative clerical work in an office setting.  Work requires sitting, occasional walking, light lifting of office items up to 10 pounds, fingering and repetitive motions.  Vocal communication is required for expressing or exchanging ideas by means of the spoken word, hearing is required to perceive information at normal spoken word levels, and visual acuity is required for preparing and analyzing written or computer data, operation of machines, and determining the accuracy and thoroughness of work.

PAY SCHEDULE: Unified Pay Schedule, Pay Grade 112

LENGTH OF CONTRACT:  260 Days (12 months)

FLSA: Non-exempt
