Office Associate III (CARES/ESSER/ARP) - Office of Grant Monitoring and Compliance

Grade 109 / 12 Month (260 days) Contract

Immediate Supervisor:

Manager, Grants Monitoring and Compliance (CARES/ESSER/ARP)

 

General Description:

The Office Associate (CARES/ESSER/ARP) is an integral component of the Grant Monitoring and Compliance Department and ensures the processing of documentation for grant compliance for CARES, ESSER and ARP funding. The Associate also performs other clerical duties including filing, generating reports, and preparing high level status reports and updates, specifically related to federal stimulus grants.

Essential Duties and Responsibilities:

·          Ensures procedures, as outlined via CARES, ESSER and ARP, are  followed as related to timely and accurate processing of documentation and expenditure of funding

·          Ensures that requisitions, aligned with grant parameters, are submitted as purchase orders, with required information, to secure reimbursement of funding

·          Utilizes the appropriate record keeping system to monitor status of work in progress to ensure timely response or actions

·          Prepares reports, charts, correspondence, and other data

·          Provides exemplary customer service in person or on the telephone

·          Performs other related duties as assigned

Qualifications:

·          High school diploma or equivalent required; Bachelor’s Degree preferred

·          Three years of office associate experience

·          Three years of experience with Microsoft Office Suite, specifically Microsoft Word, Excel and PowerPoint

·          Excellent verbal and oral communication skills and the ability to interact with internal and external stakeholders

·          Ability to effectively plan and coordinate work independently and as a member of the team; strong attention to detail, organizational, and critical thinking skills

·          Ability to gather and analyze data and develop and present accurate, timely reports, records and presentations

·          Ability to quickly learn operations of the office

·          Bilingual/fluency in Spanish preferred
