General Description:

The Office Associate III supports the Curriculum and Instruction Department by performing administrative and clerical tasks that support School Counselors, Gifted Programs and Specialty Schools, and other areas of the Department of Curriculum and Instruction. 

Essential Duties and Responsibilities:

  • Plans, initiates and carries to completion general office supports.  
  • Maintains supervisor’s calendar as required, and makes travel arrangements 
  • Produces correspondence, reports, and compiles data.  
  • Maintains leave requests and payroll.  
  • Provides exemplary customer service (in person or on the telephone); maintains customer confidence and protects operations by keeping information confidential as needed.  
  • Maintains office supplies by checking stock to determine inventory levels; anticipating needed supplies; placing and expediting orders.  
  • Runs reports using the Smart Choice platform for Specialty School and Open Enrollment applications.
  • Provides customer support for families navigating the Smart Choice platform.
  • Maintains websites for School Counseling and Gifted Programs.
  • Secures information by completing database backups.  
  • Completes tasks to organize and support the development of master schedules through the use of the Aspen information system.
  • Provides historical reference by utilizing filing and retrieval systems.  
  • Maintains technical knowledge by attending educational workshops and reading administrative support publications.  
  • Performs other related duties, as assigned

Qualifications:

  • High school diploma or equivalent required; Bachelor’s Degree preferred. 
  • Three years of office associate experience.
  • Knowledge of business office procedures, practices and equipment and the ability to quickly learn operations of the office and other duties as assigned.  
  • Proficiency in Microsoft Office and other applications including the ability to create spreadsheets, use mail merge and other features of the software suite.
  • Excellent communication, organizational and public relations skills.  
  • Ability to establish and maintain effective working relationships with others and be adaptable to changing priorities.  
  • Ability to efficiently organize assignments, effectively handle multiple assignments simultaneously, and work effectively with minimal supervision.  
  • Ability to exercise tact, good judgment and demonstrate initiative in the completion of assignments.  
  • Ability to work with school administrators, teachers, school counselors and business partners.
